Public Records Requests
The Division of Communications and Marketing manages public records requests for both the UT System Administration and the university’s campuses and institutes. Tennessee residents may request access to records related to official university business.

Submit a Records Request
Requests can be made verbally, online, through email, fax or through the U.S. Postal Service or other physical delivery services. Please make your request as specific as possible. Our division reserves the right to confirm Tennessee residency.
Requests are accepted during normal business hours:
8 a.m.–5 p.m., Monday through Friday.
Response Time for Records Requests
In compliance with the Tennessee Public Records Act, the UT System will respond to public records requests within seven business days. The response will acknowledge receipt of the request and include one of the following:
- notification that the requested documents are ready for inspection or collection;
- a denial of the request, including the reason for the denial; or
- an estimated timeframe for producing the requested documents;
- an estimate of any charges associated with fulfilling the request.
Fees for Records Requests
The following fees apply for obtaining copies of public records:
- Paper Copies: $0.15 per page for black-and-white and $0.50 per page for color copies.
- Electronic Copies: The cost of permanently storing documents on “read-only” media, such as CD-ROM or DVD-ROM, will be calculated and charged to the requester.
Requests for paper or electronic copies may be submitted in writing or through the online request form. Requests submitted verbally will be entered in the online request form.
If fulfilling a request (e.g., locating, retrieving, reviewing, redacting or reproducing records) requires more than one hour of staff time, an estimate of charges will be provided before processing.
